Privacy Policy 

The Personal Data Act – GDPR (General Data Protection Regulation), which is a common set of regulations for the entire EU, applies to all businesses that process personal data.

Leader Närheten strives to ensure that all information is handled in a controlled, secure and structured manner in accordance with GDPR and only requests information that is necessary for the business. Leader Närheten is committed to storing this information securely and deleting the information when it is no longer needed.

For the IT systems at the Swedish Board of Agriculture that Leader Närheten works in, the Swedish Board of Agriculture is the data controller.

Guiding principles for personal data processing

Legality: Personal data must be processed lawfully, correctly and transparently in relation to the data subject.

Purpose limitation: Personal data shall only be collected and otherwise processed for specified, explicit and legitimate purposes, and shall not be further processed in a manner incompatible with those purposes.

Task minimization: Personal data processed must be adequate, relevant and not excessive in relation to the purposes.

Correctness: Personal data processed must be accurate and, if necessary, updated.

Storage minimization: Personal data may not be stored for longer than is necessary for the purposes of the processing.

Privacy and confidentiality: Personal data shall always be processed in a manner that ensures appropriate security using technical or organizational measures. All information about individuals' personal circumstances shall always be treated confidentially.

Your rights

You have certain rights under data protection legislation;

Access to your personal data – you have the right to receive confirmation of whether we are processing your personal data and an extract of what data is being processed.

Request correction – you have the right to have incorrect information corrected.

Request to be deleted – you have the right to have your data deleted under certain circumstances.

If a request for deletion is received, all information will be deleted except for information that must remain due to legal requirements. We cannot remove the information provided in application documents from registers or archives as we are obliged to save these for 10 years after the end of the activity according to the Swedish Board of Agriculture's regulations.

Our handling

Leader Närheten processes personal data relating to our employees, elected representatives, members and project documents. The purposes include support management, statistics, information, follow-up, evaluation, analysis and archival purposes supported by legal obligation and public interest. We use de-identified information for statistical purposes. The legal basis for this processing concerns the exercise of authority, the Accounting Act and legal obligation, agreements and consent.

Personal data is collected through, for example, web forms, e-mail, paper applications and telephone calls. The data may also be supplemented with information from public registers and authorities.

Information storage takes place in cloud services with a good reputation such as Microsoft 365 where access is protected by password, and is done with caution.

Information sent to Leader Neighbourhood becomes public documents, unless it contains information that is confidential according to the Public Access and Secrecy Act. Leader Neighbourhood provides information related to projects to the Swedish Board of Agriculture and to EU institutions in accordance with EU legislation, law or regulation.

We never disclose your personal information to third parties without your permission.

Your data is only stored for as long as is necessary for our business or as long as we are required to store it by law/contract. After that, it is deleted according to the applicable deletion routine. We do not delete personal data when there is a legal requirement to store it, for example according to applicable accounting rules and EU regulations.

Member register

As a non-profit association, we need certain information for the administration of our membership register (which you provide when applying). This information is stored with us as long as you are a member and we use the information to send out member information and to draw up membership lists in connection with member meetings/annual meetings. You can request your withdrawal from the association at any time by contacting us and your information will then be removed from our register. All membership information will be deleted when the association ceases to exist.

Project documents

Documents relating to our projects are saved during the association's operational period and will then be archived and saved for a maximum of another ten years according to the Swedish Board of Agriculture's requirements. Applications for support and payment are made in the Swedish Board of Agriculture's IT system. The Swedish Board of Agriculture is the data controller for the processing of personal data specified in the application for support or payment.

 

Publication 

Leader Närheten regularly publishes information on its website and social media in order to inform the public and members about our activities. Board members and office staff are presented on the website with their names, in some cases contact details and possibly a picture. When events and other activities are intended to be documented with photos and films, all participants must be informed that photography and filming may occur and the purpose of this. They must also be informed that the pictures will not be sold on and who to contact if they do not want to be in the picture. Oral or written consent to publication in such contexts constitutes a legal basis. Leader Närheten is responsible for ensuring that no offensive personal information is published on its website or social media.
